Use this Stafford County custom pool handover checklist to organize project documents, identify installed equipment and get more from the owner orientation.
K&D Pools·October 24, 2026
Use this custom pool handover checklist to leave the walkthrough with three things: the documents for your project, the correct information for the equipment installed, and a clear understanding of the controls the builder has demonstrated. Bring it to the meeting, mark anything missing and keep it with your pool information afterward.
K&D's published construction process includes startup, system checks and an owner introduction to the equipment controls. The worksheet below is a planning aid you can use during that conversation. It does not promise a particular document package or warranty, and it does not replace instructions for your installation.
1. Collect the project file
Property: ____________________ Walkthrough date: ____________________
Builder's project contact: ____________________
For a Stafford County pool project, keep the project and equipment information in separate sections. That makes a drawing easier to find without searching through product manuals.
| Project document | Received / missing / not applicable | File name or location |
|---|---|---|
| Agreed project scope and approved changes | __________ | __________ |
| Final construction plan provided for the project | __________ | __________ |
| Site plan | __________ | __________ |
| Applicable permit identifiers and available inspection results | __________ | __________ |
| Pool Fence Affidavit, where applicable | __________ | __________ |
| Written warranty documents actually supplied | __________ | __________ |
Stafford's pool-permit submission list includes a construction plan, a site plan and a Pool Fence Affidavit. The county describes the owner and contractor signing that affidavit and calls for engineer-sealed plans for gunite pools. These give you useful document names to discuss with the builder; they do not establish that your particular file is complete. Stafford County pool guidance.
2. Match each installed component to its instructions
Fill in the products actually installed. Leave out components your pool does not have; the table is not a list of items included in every package.
| Component, if installed | Manufacturer and model | Correct manual / support information |
|---|---|---|
| Pump | __________ | __________ |
| Filter | __________ | __________ |
| Heater or heat pump | __________ | __________ |
| Sanitizing equipment | __________ | __________ |
| Automation controller and lights | __________ | __________ |
| Cover | __________ | __________ |
Do not fill gaps with a guessed model, a generic warranty term or another pool owner's operating settings. Leave a blank and resolve the specific question.
3. Use the orientation for demonstrations
Ask the builder to show the controls and routine owner tasks appropriate to your installed system. Take notes next to the relevant product, rather than trying to remember a long explanation afterward.
Control or task to explain again: ________________________________________
Instruction or manual still needed: _____________________________________
A handover is not a reason to improvise chemical dosing, electrical work or pressure-system procedures. Use the instructions and professional guidance for your pool. The pool guides hub can provide background on a topic while the builder or manufacturer resolves the installation-specific question.
4. Close the meeting with the remaining items visible
Item still open: ______________________________________________________
Agreed next update or appointment: _____________________________________
Support contact and preferred way to reach them: ________________________
Keep unresolved workmanship questions, missing documents and operating questions distinguishable. They may need different responses. Your agreement and project documents govern contractual obligations; this worksheet is not a substitute for them.
Before putting the folder away, try one practical check: can another household member find a product's model, its manual and the appropriate support contact? If so, the information is organized well enough to use.
